Coaching outside sales without a clear view of the field
On Time Supply operates from Upstate New York and Connecticut to New York City and New Jersey with a 7-person outside sales team. It's a distributor for construction supplies across a variety of industries.
The team did not operate with a standardized sales process. Reps were visiting customers, but they weren't logging visits and saving sales activities in a central system.
"It’s really difficult to manage and know what people are doing," said Tim Tefft, On Time Supply's sales manager. "If you don’t know what their day looks like, how can I coach you? I can call you and ask, but if somebody sees 10, 12, 15 people a day, some of it might get lost in translation."
On Time Supply uses NetSuite as its ERP. It handles quoting and inventory management, but wasn't equipped to support the outside sales team.
"There is a little bit of CRM built into it, but it's not what it's really for. If someone is cold calling from the office and wants to write down who they spoke to and what the conversation was, they can do that. But that's as far as it goes."
On Time Supply needed a tool that would be easy for reps to update from the truck in the field. Something that would enable follow-ups. A tool that would give it visibility to help improve the team.
This brought On Time Supply to RepMove.
Solution
Combining routes, notes, and next steps into one field workflow
After discovering RepMove, the team recognized an opportunity to revamp its outside sales flow without creating an administrative burden. They saw a tool that would help reps plan their days, take notes that helped build relationships, and create the structure to follow-up. It also gave leadership the visibility it needed to coach and guide the team better.
RepMove was integrated with NetSuite so that customer, prospect, contact, and jobsite information could move between the two systems. Activities recorded by reps in RepMove could also flow into NetSuite, giving On Time Supply a field-friendly tool while preserving the data in its existing business system.
Planning routes and covering territories
On Time Supply creates route templates for territories one to two weeks in advance. This allows reps to start with an established day that can be adjusted as needed.
"Someone might have seven customers in this area. On a given day they can go in and say ‘I need to see five more’ and sort it by places they haven’t gone to in 30 days."
If a rep wasn't able to complete all their planned stops for the day, the route could be adjusted. A rep's starting point might change or a customer could redirect their day. Whatever the case, the rep would adjust their day and re-optimize their route from any location.
"In our industry everything is so fast moving all the time, to be able to click optimize and go, it’s huge."
This gave reps a flexible schedule and a practical footprint from which productivity grew.
Capturing activities and the next step before it gets lost
On Time Supply didn't have consistent note taking or a historical record of sales activities.
"It didn't exist before RepMove."
Now notes help power strategy.
"I can say ‘hey you’ve gone to this account X number of times on Z number of days. I’m looking at the notes and they’re all kind of the same. Let’s try something different. How can I help?’," Tim said.
Leadership doesn't micromanage reps with the data. It uses data to help lead them to success.
"It's less about overseeing and more about being able to help and guide people."
In the field, the tool isn't a burden to reps. On the contrary, it offers a simple and easy way to create behaviors that lead to more sales. It does this by fitting into their days cleanly. Taking notes at every visit lays the foundation for success.
"To be able to walk out, whether people type or talk, they do it live there. It’s done. It’s a huge time-saver."
RepMove's AI helps reps polish their notes before tapping save. "Most of us use the AI note rewriting feature. It helps a lot."
RepMove also changed how follow-ups happen. Reps record meeting notes while they are still fresh, schedule the next action, and move on without carrying another reminder in their heads.
"It's a huge time saver because other than actually sending the follow-up email, all of the structuring of it is done. You walk out, you take one, two minutes to log it and schedule it. And then it's done. You don't have to remember it. You don't have to think about it."
Putting promos and line cards in reps' pockets
RepMove serves in a sales enablement function as centralized document storage for manufacturer promos and line cards.
"Anytime one of our vendors sends us a promo, we add it and make it available."
This makes follow-ups on specific product conversations much faster and potentially shortens the time to sale.
"When they leave they're able to send a quick follow-up email and say 'hey, thanks for taking time. We talked about DeWalt. Here's a DeWalt quarterly promo and my line card as well'."
On Time Supply uploads each rep's line card into their RepMove account. It has their contact information as well as a menu of their products. Making this available to each rep to share after a visit helps them keep the conversation going and helps deals move forward.
Results
More time in front of customers and record sales performance
On Time Supply now sets a minimum of 50 customer visits per rep each week. Each rep averages approximately 10 to 15 stops per day. Before RepMove, "it would be less than half of that," Tim said.
More productive hours in the field
One of the most important impacts RepMove has made is opening up extra hours to actively sell in the field.
"We went from having people getting to the field at 10 and getting home by 3 to finish up the day, to being able to be in front of people at the start of business and working a full day because a lot of the things they weren’t able to do in the field now they can. It frees up a lot of time."
Coaching better follow-ups
RepMove has helped management identify areas of the business that can grow. "Instead of sorting through and seeing backorder reports and wondering why hasn’t this customer ordered anything lately, I have it right here."
This helps leadership identify opportunities to coach and improve follow-up.
"I can go through and read all the notes. I can reply to them. 'Hey, glad you saw so and so. I noticed that you guys spoke about this. Don’t forget to remind them about x, y, or z. They used to buy anchors from us, how come we haven’t seen an anchor order in a year? They’re obviously still buying anchors, so follow up with that next time'."
Every completed stop creates a visible record that reps and managers can revisit. Instead of searching through notebooks or trying to remember which conversation required an email, a quote, or another visit, the information is already associated with the account.
A record quarter followed by a record month
On Time Supply's sales have seen an immediate impact. Leadership was careful not to attribute it all to RepMove, but also said it's the main driver.
"We started with RepMove in January 2026. Quarter 1 of 2026 was our highest sales quarter ever and the biggest growth quarter-over-quarter from Q4 of 2025 to Q1 of 2026," Tim said.
The success didn't stop there.
"Last month (April 2026) was the largest sales month we ever had. I’d be lying if I said RepMove was not the number one contributor."
RepMove has helped On Time Supply's sales team build a repeatable process that organizes the chaos of the sales day. It's built the structure that helps reps and management move together and grow.
"It’s so easy to become unorganized. As an outside sales rep, you’re running in so many directions. Your head is spinning constantly. To have to remember things is a recipe for disaster. To have a place to keep it organized. Not only your notes, but also just working the territory correctly, managing your day properly. It’s been invaluable."
